With our first event contract being the 2009 Cosford Air Show, resulting in a record breaking attendance of 65,000, we knew this was our field!

We’ve gone on to successfully manage the PR, social media and the on-site press office for Staffordshire County Show, Shropshire Show, Newport Show, Frestival, Shrewsbury Grand Prix, the HSBC British BMX Series and Shrewsbury Flower Show as well as joining teams for larger events, including the Queen’s visit to Shropshire for the Diamond Jubilee.

From the minute the idea is born the J&PR team work alongside event organisers, not only for promotion but to ease the workload of the committee, acting as press officers on the day of an event, organising photographers and journalists and meeting and greeting sponsors and stakeholders.

We brainstorm, plan, launch and run strategic campaigns for events, from the initial press release announcement, to the announcement of each act or exhibitor, interviews with organisers both in print, on television, on radio, through social media campaigns, regular blogs and much more.

We are there in the run-up, on the day and after the event finishes.

A PR campaign for an annual event should be ongoing – not finish when the event finishes. As a team we create post-PR and continue the campaign to ensure a bigger and better event the following year.

We work alongside marketing teams and organising committees to create the right PR campaign for each event. We also boast experience working alongside board of trustees within large regional charitable organisations. We become your media team for your event.

We are all fully qualified and experienced journalists so when it comes to interviewing your staff, all important sponsors and contacts for press releases, social media posts and case studies we know our stuff.

We can come up with ideas to promote the event, turn those ideas into press releases, video interviews and social media campaigns to raise the profile of the event in the regional and national media.

We are experienced with press calls and event launches and can invite the media along and advise event organisers on what should be waiting for them.

Our knowledge means we know what journalists are looking for in the run-up to an event, on the day and what they will need within minutes, hours and days of the event finishing.

Many event organisers ask us about when they should start promotion. Our advice is always it is never too early to start promoting – and with an annual event it should never stop.

We are skilled at finding opportunities to promote an event all year round, even if the event team are not in place 12 months of the year, you can be assured that we can be.

As an event gets closer the PR campaign should increase in speed and strength – especially in the run up to the launch of ticket sales.

We can create that hook to interest the media and most importantly win the interest of your target audience.

A press launch should be held and the local, regional and national media invited (and for those who don’t make it a press pack will be at the ready!)

Post-event there are plenty of opportunities that are often missed – how well the trade stands did, how much money was raised for charity, the number of people through the doors or the gates and changes to make the event bigger and better the following year.

We prepare, we plan and we execute - we become part of your Event Management team.

The press office is often a tent at outdoor events but whether it is a tent, an office or just a radio, we can be on site throughout the event to speak to media and liaise with photographers.

In order to gain the best possible coverage of an event the press need to be provided with the facilities - with WI-FI almost everywhere and photos and videos being sent from the equipment these days - it may seem like a press office is no longer needed.

But the media remember - so if they have been provided with good quality facilities, with refreshments and with the interviewees and material they need then they will be back at your next event.

The friendly face giving a professional welcome with all of the technology they need at hand will make for a smooth day at work for the reporters and producers.

Crisis management is something that all event organisers should be aware of, and prepared for, well in advance of their event date.

Without a plan, or a press officer in attendance, mild incidents like traffic or a locked entrance could soon become headline news when it really shouldn’t be.

Our experience of crisis management prior to the event has involved postponement of an event three times due to unprecedented weather conditions - however due to the timely announcements through social media and other media, along with swift responses to those disappointed ticket holders, visitors were happy to return to the event when it did go ahead.

Media representatives will be quick to cover bad news stories - but we know what to say, how to say it and when to say it! No comment is not an option for the J&PR team.
